WCLA’s Wellesley In Entertainment 

Steering Committee: Election Information

 

Wellesley In Entertainment, a subgroup of the WCLA, was formed in the spring of 2016 to promote a sense of solidarity among Wellesley alums working in film, television, media, and the arts. We aim to build the WIE community through various events: social hours, networking opportunities, creative and business panels, a screenwriting competition for graduating seniors, and consistent communication with both the College’s academic departments and the Career Education office. We hope not only to connect graduates to each other but also to provide students with a supportive, collaborative, professional community immediately upon graduation.

Election Timeline

  • July 12th, 6 PM PST: Candidate statements due (in .doc form, no more than 300 words, can be casual) to WellesleyInEntertainment@gmail.com. Candidates must be graduates of Wellesley College and be based in LA enough that they can regularly attend Steering Committee meetings in person. 
  • July 13th: Candidate statements circulated via mailing list and Facebook group.
  • July 14th, 3-5 PM PST, Village Idiot (back room), 7383 Melrose Ave, Los Angeles, CA 90046: Election as part of end-of-year general meeting. You must be present to vote. 
  • Mid summer: Handoff meeting with old and new steering committee.

Steering Committee Roles and Responsibilities

President & WCLA Treasurer Liaison — can be a two-person team

  • Attends WIE steering committee meetings
  • Oversees broad calendar and timelines leading up to WIE events
  • Maintains mailing list and WIE email account 
  • Writes and distributes newsletters via mailing list and on Facebook group
  • Sets meeting agendas, runs meetings
  • Works with Event Coordinators to ensure one major fundraiser per year, to benefit screenwriting competition
  • Liaises with Seven Sisters In Entertainment group(s)
  • Seeks new opportunities for the group and regular feedback from membership
  • Works closely with the WCLA Treasurer
  • Answers questions (especially related to ticketing and website log in) of event attendees
  • Maintains a budget, especially in anticipation of the screenwriting competition

Vice President

  • Attends WIE steering committee meetings
  • Acts as sounding board and general support to the College’s Career Education staff (specifically Destiny Barletta, the Marketing/Communications/Arts Career Community Advisor). Passes along info on fellowships, competitions, job opportunities, and other calls for entries. Organizes and relays information from Facebook group (ie, a thread about paid summer internships).
  • Assists other positions during crunch times — especially the event coordinators, when leading up to an event, and the screenwriting competition administrator, during jury period
  • Assumes other positions’ duties if steering committee member steps down before elections

Screenwriting Competition Administrator

  • Attends WIE steering committee meetings
  • Revises submission guidelines each spring and distributes to the College (English and CAMS Departments, Career Education office — checks with on-campus publications for interest in helping publicize) 
  • Maintains screenwriting competition email account, confirms receipt of scripts, answers any questions from applicants
  • Recruits and coordinates team of jurors (for both first and second round judging)
  • Announces competition results to applicants and the College, including coordinating PR with Wellesley Magazine, The Wellesley News, the Daily Shot, and the Wellesley Underground
  • Coordinates winner’s trip to Los Angeles — buys plane tickets (to be reimbursed), arranges per diem (also reimbursed), sets meetings, creates itinerary with all necessary details and directions, confirms meetings, arranges housing with Wellesley alum, acts as point person during winner’s visit. 

Event Coordinator — two positions open

The two event coordinators will work closely together and will divide the below responsibilities as they see fit.

  • Attend WIE steering committee meetings
  • Maintain the online Google calendar for WIE and Wellesley alum events
  • Propose an annual calendar of events to the steering committee — which should seek to balance networking and educational opportunities, creative and business experiences, social and professional needs of the membership
  • Execute that calendar by: 
    • Reserving venues
    • Booking speakers/panelists/visitors
    • Coordinating any technical aspects of the events
    • Creating event invites at least six weeks in advance and coordinating distribution through the Wellesley College server/staff
    • Promoting the event on social media
    • Being present for and producing the events
    • Coordinating any necessary thank you gifts

*Typical event schedule for WIE is one event every other month. Previous years have been:

    - August: Book Swap and Social Hour

    - October: Panel Discussion

    - December: WCLA Holiday Party (no WIE-specific duties)

    - February: “In Conversation With Event” (fundraiser for Screenwriting Competition)

    - Late March: Wellesley Spring Break Happy Hour (w/ Screenwriting Competition winner) 

    - May: Seven Sisters Networking Event

    - July: Annual Meeting and Elections

 

Film Festival Coordinator — NEW POSITION, can be two people

This is a new position, dedicated solely to overseeing a proposed annual “Wellesley Film Festival.” We envision this including features, shorts, docs, and digital series. We hope it will take place on a weekend day, culminating in a Q&A and cocktail hour. We can only make this event happen if someone volunteers to run it!

  • Attend WIE steering committee meetings
  • In collaboration with steering committee, design and set calendar for festival, including: 
    • Set schedule and rules for entry
    • Draft release form
    • Publicize submission period
    • Book venue
    • Set screening schedule
    • Publicize event
    • Produce event, including a Q&A with featured filmmaker and a cocktail hour at festival’s end
